Privacy Notice

Whitehead Institute for Biomedical Research ("Whitehead Institute"), located at 455 Main Street, Cambridge, MA 02142, collects personal information through this application for the sole purpose of administering its faculty search process.

Information We Collect

Applicants: name, email address, phone number, mailing address, current institution, lab or advisor, position title, research area, educational history (institutions, degrees, graduation dates), any documents you upload (such as CVs, cover letters, and research statements), and how you heard about the search.

References: name, email address, phone number, title, employer, and the recommendation letter you upload on behalf of an applicant.

Evaluation form respondents: name, email address, and your ratings and comments regarding candidates you have evaluated.

Equal Employment Opportunity (EEO) data: gender, race, ethnicity, disability status, and veteran status. This information is collected on a voluntary basis and is used solely for aggregate reporting in compliance with federal equal opportunity requirements. It is not made available to the search committee or used in hiring decisions.

Account and session data: login timestamps, IP addresses, and browser and device information (user agent) are recorded for security and auditing purposes. Client-side application errors may also be logged for debugging and quality assurance purposes.

Record metadata: application records include metadata indicating when they were created and last modified, and by whom, for auditing purposes.

Who Has Access

Your information is accessible only to authorized Whitehead Institute staff, search committee members, and faculty reviewers directly involved in the search process. Access is role-based and limited to what is necessary for each participant's function.

Third-Party Services

Uploaded documents may be processed by an external document conversion service (CloudConvert) to produce PDF versions. Files are stored on Whitehead Institute infrastructure. We do not sell or share your personal information with third parties for any purpose unrelated to the faculty search.

Cookies

This application uses a session cookie to maintain your login state. This cookie is required for the application to function and is removed when your session expires. We do not use tracking or advertising cookies.

Data Retention

Application data is retained by Whitehead Institute for search administration and institutional record-keeping purposes.
